Let's classify these records. We've navigated to the schedule search page on our website Links to an external site.. This option works well for most state agencies. It can be difficult for LEA's to identify their records in this database. There are over 1300 education series listed. We worked with the Utah State Board of Education to consolidate them.

as well. The first step in using the RAMP is… Classification! 

We have created 5 categories for you to begin with. 

  • Section 1 contains General Retention Schedules (GRS) that fit an Administrative Management classification. 
    • Board records, committee records, official communications, and reports make up this section. 
  • Section 2 has grouped all the GRS schedules that fit an Asset Management classification.
    • You’ll find things like equipment inventories, operations, disaster plan records, transportation, and auditing. 
  • Section 3 has grouped all the GRS schedules that fit a Financial Management classification.
    • Child Nutrition is in this section. As well as budgets, purchases, payroll, and revenue, including grants.
  • In Section 4, all your personnel, teacher certification, training and development records are to be found, as well as anything with misconduct, grievance & discipline.  
  • Finally, Section 5 is where we find what we traditionally think of as education records. The ones dealing with the students. 
    • In this section you’ll also find records pertaining to schools in general, like artifacts, histories, maybe even that old high school playbill. 

Once you classify the type of record you're working with,then you can dive deeper, so that you can appraise it.  We'll cover appraisal next. Remember, Archives is always here to help!
